Viewing an invoice

Invoices are, along with Pings, the main function of Payzip, and understanding them is key to your success in using Payzip to its full potential.

Here we'll explain everything you need to know about them.

The quickest way to find an invoice is by clicking Invoices in the sidebar.

Here you will see a list of every invoice you’ve created. By default, the view is filtered by Owed which only shows the invoices that are currently outstanding. However, you can Clear this filter if you want to see all invoices.

You can also filter on Paid or Overdue, while the date filter allows you narrow your list down to those invoices sent over a particular time period.

Overdue invoices are highlighted with an Overdue label and a red flash on the row.

The information in the table is as follows:

  • Date sent - The date that the invoice was sent;
  • Due date - The date the invoice needs to be paid by before it goes Overdue;
  • Invoice name - The name given to the invoice when it was created;
  • Payments - The number of payments made out of the total number of recipients;
  • Total - The total amount of the invoice;
  • Owed - The total amount outstanding on the invoice.

Invoices are ordered by Date sent with the most recent invoice at the top.

We also put Overdue invoices front and centre on the dashboard.

If you have a lot of invoices, you can use Search to find the exact one you are looking for.

When you have found it, click the row to bring up the details for the invoice.

Understanding the invoice page

When you first land on the invoice page, you’ll notice a section underneath the header with figures in each box. These figures help you understand more about the invoice and can be explained as follows:

  • Total overdue - The total value of invoices that have passed their due date;
  • Total owed - The total value of outstanding invoices;
  • Total paid - The total amount that has been paid so far (all payment types);
  • Avg. payment time - The average time it takes for a payment to be made (we only track payments made by card for this metric).

Recipients table

The Recipients tab shows you which members have received this invoice.

The default status filter is set to Owed so you will see all members who have yet to pay the invoice. To see all invoices, click Clear in the status dropdown or choose to see only the Overdue or Paid invoices.

The default group filter is set to All groups so you will see all members. To see those members in a particular group, just select the group (or groups) from the dropdown.

You can also search the entire table on Member name.

If you want to export this table as a CSV, click Export to CSV in the table footer.

Clicking on a recipient will show you the details of their invoice.

Here you can also record a manual payment, add a note, turn off reminders, send a reminder and edit or delete the invoice.

Payments table

The Payments tab shows you all the payments that have been made so far on the invoice. They are listed in date order, with the most recent payment at the top.

The table shows you who made the payment, how it was paid and how much it was for. There is no default filter applied, but you can filter by Payment type if you want to find a certain type of payment or by Group if you want to view a particular group’s payments.

You can also search the entire table on Member name.

If you want to export this table as a CSV, click Export to CSV in the table footer.

Clicking on a payment will show you the details of that payment along with details of the invoice and any associated Activity & notes.
